Board Member Responsibilities

 

President 

The Parent Group President is responsible for providing leadership and direction to the organization, ensuring that its goals and activities support the school community. Key responsibilities include planning and leading meetings, working closely with the school administration and staff, coordinating with other officers and committees, and overseeing events and fundraising efforts. The president also serves as the primary spokesperson for the group, helps set the agenda for the year, encourages parent involvement, and ensures that all activities align with the group’s bylaws and mission. Additionally, the president plays a vital role in fostering communication between parents, teachers, and school leadership to support student success.

Vice President 

The Parent Group Vice President supports the president and helps ensure the smooth operation of the organization. Their responsibilities typically include assisting in planning and leading meetings, stepping in to fulfill the president’s duties when they are unavailable, and helping coordinate events, activities, and committees. The vice president often serves as a liaison between committee chairs and the executive board, providing guidance and support as needed. They may also take on specific projects or oversee certain functions, such as membership drives or volunteer coordination. In general, the vice president plays a key leadership role in promoting teamwork, maintaining communication, and helping the group achieve its goals in support of the school community.

Treasurer & Co-Treasurer 

The treasurer is responsible for managing the organization’s finances and ensuring transparency and accuracy in all financial matters. Key duties include maintaining detailed financial records, tracking income and expenses, preparing budgets, and providing regular financial reports to the group and school administration. The treasurer also handles deposits, writes checks, reconciles bank statements, and ensures that all financial activities comply with the group's bylaws and any applicable regulations. The co-treasurer supports the treasurer in these tasks, helping to share the workload and provide oversight. They may divide responsibilities such as managing fundraising income, organizing receipts, or assisting with tax filings and audits. Together, the treasurer and co-treasurer work to ensure the financial health of the group and build trust through accurate, responsible stewardship of funds.

 

Secretary / Community Communications

The secretary of an elementary parent group is responsible for maintaining accurate and organized records of the organization’s activities. Key duties include taking detailed minutes at all meetings, distributing meeting agendas and minutes to members, and keeping attendance records. The secretary also manages the group’s official documents, such as bylaws, correspondence, and event records, ensuring they are up-to-date and easily accessible. Additionally, communication between the group, the school, and the broader community. Key duties include creating and distributing newsletters, flyers, social media posts, and email updates to keep families informed about events, meetings, and important announcements. This role involves maintaining the group’s online presence, such as updating the website or social media pages, and ensuring that all messaging is clear, consistent, and aligned with the group’s goals. The community communications officer may also coordinate with local media, design promotional materials, and support outreach efforts to increase parent involvement and community engagement. By keeping everyone informed and connected, this position plays a vital role in building strong relationships and a sense of community within the school.

Where does the money that is raised go?

Funds support things like classroom supplies, assemblies, playground equipment, school events, and teacher appreciation.

Absolutely! Parent input is always welcome—share your ideas at meetings or with group leaders.

How often does the Parent Group meet?

Meeting frequency varies (monthly, bi-monthly, etc.). We will post dates on as many platforms as possible. Feel free to reach out if ever unsure. 

How will I know what’s going on?

We share updates via social media, school newsletters, and flyers.

I can’t attend meetings—can I still stay informed?

Yes! We post recaps and updates online here, with our meeting agenda so everyone can stay in the loop.

How does the parent group support teachers?

We organize staff appreciation events, help with classroom needs, and provide resources like classroom grants or wish lists.

How can I find out what my child’s teacher needs?

Many teachers fill out “About Me” or Wishlist forms. These can be found on the Teacher Information Tab. You can also ask room parents or Parent Group members, or the teacher directly!
